Retention Period
The retention period is the minimum time the member must retain microfilm or other reproduction of interchange paper and chargeback documentation.
Documents should be stored both electronically and in paper format. If documents are sent using email, the member may wish to introduce an email retention policy and electronic documentation can be managed by an electronic records management system. Document retention is important in case the documents are needed at some point in the future for litigation reason.
The record retention requirements vary depending on what documents they are. Some record retention is permanent and some have a record retention schedule, for example some data retention periods are three years. Records that will serve no further purpose being retained (as determined by theirretention period) are destroyed. A document is either incinerated or the company may decide to shred it.
